Family support measures

for Students, Instructors, Lectures and Researchers in the qualification process

In consultation with the Faculties, the Rectorate has decided on the following family support measures for a project duration of three years (Oct 2023-Oct 2026). Afterwards, the measures will be evaluated, adjusted if necessary and, if necessary, extended.

The three family-supporting measures are:

The Family Service is happy to provide support by arranging babysitters.

For students and staff

Please write an email to babysitting@uni-bielefeld.de. You will then receive a contact list of babysitters, which also includes information about the qualifications and experience of the babysitters.

Afterwards, you can contact the desired babysitter personally.

Babysitting can be done as a mini-job or on a self-employed basis. You can get more information, for example, from the Minijobzentrale.

For (doctorate/Phd studies) students in examination and final phases

Under the following conditions, student parents can apply for reimbursement of the costs for additional childcare:

  • You are in examination or graduation phases.
  • You have child(ren) under the age of 12 or child(ren) in need of care.
  • You do not have an employment contract with Bielefeld University.

Please note:

  • Reimbursement can be made for up to 15 €/hour for up to 30 hours of care per staff, people applying (per semester).
  • The costs for babysitters that you have organised yourself can be reimbursed, as well as for babysitters who have been arranged through the Family Service.
  • The childcare costs for which reimbursement is requested may only be incurred after positive re-enrolment by the Family Service.
  • The costs for babysitting must first be covered by the parents and can then be reimbursed by the university.
  • Reimbursement is possible again for each semester
  • The Family Service checks the applications and decides on the approval. There is no legal entitlement.

Procedure for the reimbursement of childcare costs for (doctorate/Phd studies) students:

1. please submit the application by email to babysitting@uni-bielefeld.de.
2. you will usually receive re-enrolment from the Family Service within 3 working days regarding your application.
3. babysitting can take place immediately after approval.
4. for reimbursement of your costs, submit the following documents by email to babysitting@uni-bielefeld.de after the degree of babysitting has been completed:

  • the payment form
  • proof of payment (e.g. a receipt/invoice)
    • A receipt must contain the following information of the babysitter: name, address, tax number or tax ID, description of the academic achievements including the date(s), amount in euros.
    • Professional babysitters must issue an invoice in accordance with §14 UStG. 5.

Afterwards, the reimbursement of your requested childcare costs will be made (usually within 3 weeks).

Teaching staff, instructors, lectures in the qualification process

The university would like to relieve teaching staff, instructors, lectures with a high teaching load and family responsibilities in the preparation and/or implementation of courses. You can apply for funding under the following conditions:

  • Your teaching load is 10 LVS or more and
  • You supervise children up to the age of 12 or children in need of care in your own household or care for relatives.

Per staff, people can apply for a maximum of 7 hours per week for up to 12 months .

Please submit your application informally via the head of administration of your Faculty.

The Faculties review the applications and decide on the approval. There is no legal entitlement.

Limited funds are available for the measures.

The University would like to enable Researchers with family responsibilities to devote more time to their research by providing research support or relieving them of teaching duties. You can apply for funding under the following conditions:

  • You are in a phase between the start date of your doctorate/Phd studies and the end of a habilitation or the additional scientific achievements according to § 36 HG NRW (junior professors are excluded because they have their own appointment funds) and
  • You supervise children up to the age of 12 or children in need of supervision in your own household or care for relatives.

Per staff, people can apply forassistance funds for amaximum of 7 hours/week for up to 12 months .

Please submit your application informally via the head of administration of your Faculty.

The Faculties review the applications and decide on the approval. There is no legal entitlement.
