The PEVZ ("directory of staff and departments") records the official contact details of all employees and displays them online. It also shows all departments and institutions with all their sub-institutions and is therefore an important part of the university's external image. At the same time, it is the database for the BIS applications, which obtain the staff, people and department details from the PEVZ (e.g. the display of teaching staff, instructors in the electronic course catalogue (ekvv) or the reference to the student counselling service of a subject in the study information pages).
The PEVZ is maintained decentrally in the departments and institutions; the corresponding input rights can only be set up at the request of the respective head of institution.
Staff, people with PEVZ input rights will find help pages for the individual input forms after registration in the system, which can be accessed via a corresponding button on the right-hand side. On this and the following pages, we collect additional information on entering and maintaining the PEVZ.
A photo can be added to every personal entry in the PEVZ. Employees can decide for themselves whether they want to use this function, as not everyone agrees to their photo being published. For this reason, posting your own photo is one of the functions that staff, people with BIS approval for employees can use themselves. We have described how this works on this help page: "My PEVZ"
If you maintain the PEVZ for your department, you may be asked to post a photo for third parties. This is possible within the scope of your rights, but the staff, people you commission must then submit a corresponding declaration of consent, which you must archive.
In order to be able to use various advanced telephony functions, such as call forwarding, voicemail or softphones, the so-called "UMS authorisation" is a prerequisite. Employees can order this right themselves, but as a PEVZ representative you can also see which staff, people in your area already have an UMS right and also order this for colleagues. This allows PEVZ representatives to support the organisation of telephony for their department.
After registering with the PEVZ, you can use the "Phone number status check" menu item to find out whether a specific phone number has an UMS authorisation. You will then find the menu item "UMS right" under "Actions" on the detailed view of a person and can apply for the UMS right on behalf of this person.
