Directly to the ekvv input
There are two different - and differently complex - ways in which examinations can be recorded in the electronic course catalogue (ekvv). Before creating the course, you should consider what organisational effort is sensible and necessary and how you can ensure that students are informed in the best possible way.
The two different options are explained on this page.
You can create appointments for each course in the ekvv. In the ekvv, you will see the two items "Dates" and "Examinations". If you select the "Examinations" item, an input mask opens in which you can only create examinationss as individual appointments.
Dates created in this way are then displayed in an overarching category of all university-wide examinations. In the detailed view of a course, these dates are displayed as examinationss and if students add them to their timetable, they will see them in a separate "My examinations" section.

Whether a module or study section includes a written examination is determined by the corresponding module description or examination regulations. Regardless of how an examination is entered in the ekvv, it is important that the examination is assigned as an examination via the subject assignments.
The most common case is that an examination is assigned to a specific course (e.g. a basic lecture followed by an examination). Even if an examination is intended as a cross-course examination according to the module description, it may still make sense to assign it to a specific course in organisational terms by assigning the corresponding examination to the course via the subject assignment. Alternatively, a separate examination course can be created for the examination.
With a few exceptions, there is no obligation to register for examinations for Bielefeld degree programmes. Nevertheless, for organisational reasons it can be important to know in advance how many students want to take part in an examination. You should therefore decide in advance whether or not you need a separate attendance list for the examination.
An additional single date of the type "examination" is added to the course entered in the kvv (how to do this can be found on this help page or in the support integrated in the ekvv in the input pages: "Dates and course formats"). Examinations entered in this way are treated as an additional event date in the electronic course catalogue (ekvv) and in the students' timetables.
The examination date is displayed in the collective category "Examinations" in the ekvv, is easily found by students and is also displayed as an appointment in the timetable without students having to register to take part.
A separate room for the examamination can be requested via the individual date.
The teaching staff, instructors, lecturers assigned to the course can report the academic achievements to the Examination Office via the course.
A separate course is created in the KVV for each examination date. The lecturers linked there and the subject assignments should be identical to the associated course so that the teaching staff, instructors, lecturers have access to the attendance list, performance registration is possible and the examination is displayed in the ekvv in the same context as the course. It also makes sense to assign the same document number to the examination course as the corresponding course so that both entries can be found in the quick search. An easy way to transfer all this data is to copy the corresponding course, adding a note such as "Examination for course ..." to the title.
The date of the examination course must be created as an examination date (see "Display in the examination overview in the ekvv" above) so that it is included in the examination overview. (To do this, first create the event, then select "Examination" to enter the date).
The short commentary on the course can contain information on any registration procedure. If you have a strict registration procedure with registration and cancellation deadlines, you can activate the so-called "flap function", which only allows you to register for the course within a certain period of time. A separate participation list is created for the xamination, including an electronic mailing list(s).
If the examination takes place in a university Lecture Hall, seats can be allocated in the room in advance and displayed to students in their timetables. We have summarised the information for creating a seating plan for you here: "Create seating plan"
A separate room can be booked for the examination.
The procedure is very time-consuming, so it makes sense to weigh up in advance whether this effort is worthwhile.
It should be communicated in advance that students must register for participation by including the written examination event in their timetable.
It is possible to register for both the course and the written examination; for the sake of clarity, it should be ensured that registration is either for the course or for the written examination. It is easier for teaching staff, instructors, lecturers to register for the written examination because they do not have to work with the larger participation list for the course.
It is possible to convert a one-off course date that has already been created as a normal course date into an examination date. This can be particularly useful if there are already room bookings on the date, but it is an examination date that should be displayed to students accordingly.
The option is only available for individual appointments that have already been entered for a course and can be accessed via the "Edit" function for the appointment.
