Email and calendar
BITS provides a central groupware server (MS Exchange) for students and employees. The usage offers the functions
- E-mail (@uni-bielefeld.de address),
- calendar
- tasks,
- contacts,
- notes.
The service can be used via e-mail programs on computers and mobile devices as well as via a web browser using webmail.
Scope of services
Personal mailbox / size
All students and employees receive a personal mailbox with a @uni-bielefeld.de address.
Storage space
Students: 2 GB
Employees: 6 GB
Functional mailboxes
So-called functional mailboxes are used for individual faculties, departments, Working Groups, among others. General access to these mailboxes is controlled by mailbox permissions and must be integrated differently depending on the e-mail program.

Distribution lists
The distribution lists are used for pure forwarding to any number of e-mail addresses. Here, an e-mail address with @uni-bielefeld.de ending is set up, but without its own mailbox and storage space behind it.
The maintenance of a list is done via the PRISMA portal. To request a new list, please contact your own IT supervisor at the faculty/department.
Out of office message
A message is sent automatically in response to e-mail messages during periods of absence from work (vacation, illness, etc.).
- Limitation of outgoing e-mails (protection against SPAM from inside)
BITS ultimately cannot prevent a university identifier with a person's associated password from falling into unauthorized hands. These 'hacked' accounts have been abused in the past for mass distribution of unsolicited emails (SPAM and phishing).
This threatens the rejection of emails from the university by so-called blacklisting of our email domain with other email servers. In order to curb this problem, there are the following limits on sending:
Outlook, Webmail and ActiveSync
Max. Number of messages per minute: 10
Max. Number of receiving addresses (To, CC, BCC) per email: 200
Max. Number of receiving addresses (To, CC, BCC) per mailbox per day: 1000 (regardless of the number of messages)
Example: For example, if you address 50 recipients* in an email, you can send a maximum of 20 of them per day.
SMTP (e.g. Thunderbird)
Max. Number of messages per minute: 5
Max. Number of recipient addresses (To, CC, BCC) per e-mail: 200
Max. Number of receiving addresses (To, CC, BCC) per mailbox per day: 1000
Example: For example, if you address 200 recipients* in an email, you can send a maximum of 5 of them per day.

Requirements
Request
- Automatic activation by student/employee status, personal e-mail address is in the PRISMA portal.
- Application for functional mailboxes and distribution lists via the responsible IT supervisor.
